Gravity Payments provides payment-processing accounts and reporting tools for businesses. Merchants may need to update a deposit bank, change authorized users or report a business ownership change. This independent guide is not affiliated with Gravity Payments.
The correct process depends on the requested change. Deposit-bank updates may begin inside Gravity Dashboard, while ownership and most other account changes must be routed through Gravity’s team.
Start With the Correct Gravity Payments Login
Gravity does not use one universal login route for every merchant. Its official Merchant Logins page provides Gravity Dashboard access and asks merchants to choose the selection matching their merchant ID before continuing to the appropriate account system.
Find the merchant ID first.
Gravity says the MID appears in the installation email or in the upper-left corner of the merchant statement.
Use this path:
Locate the merchant ID.
Open Gravity Payments’ Merchant Logins page.
Select the route matching the MID.
Enter Gravity Dashboard only when that is the assigned system.
Contact Gravity support when the account records and available login routes do not agree.
Do this before resetting a password. Skip old bookmarks until the correct portal has been verified.
Gravity also documents Access One for standalone or non-integrated merchants whose MID begins with “4” or “5.” That portal can provide batch history, chargeback information and monthly statements.
A merchant assigned to Access One may never find the expected records in Gravity Dashboard, even when the employee’s email and password are correct.
Which Account Changes Can Be Started Online?
Gravity’s account-management guidance separates deposit-bank changes from general account updates.
Merchants seeking to change the bank account that receives deposits may be able to initiate the request from Gravity Dashboard. Gravity directs users to its self-service bank-change workflow for that task. For other account-information updates, the company instructs merchants to contact support.
This distinction prevents a common mistake. An employee may search Dashboard for controls to update a business address, legal information or ownership record, even though Gravity does not publish those changes as ordinary self-service Dashboard tasks.
Use Dashboard for the documented bank process. Route other account changes through official support.
Short and specific.
When contacting support, identify the information that needs to change and the effective date. Avoid asking for a broad “account update” when the actual request involves one field or relationship.
Changing the Deposit Bank Account
Gravity’s self-service workflow begins under Account Management in the Dashboard’s left navigation. Only business owners and authorized signers can complete the process.
Gravity then routes the authorized user through Plaid identity verification. The published process requires access to a mobile phone and basic identification documentation. After verification, the user can choose Connect Instantly or Enter Manually.
With Connect Instantly, the authorized user connects to the bank through Plaid, selects the account, chooses an effective date, signs and submits the request.
With Enter Manually, Gravity says the user enters the new routing and account information, selects an effective date and provides a voided check or formal bank letter before signing the request.
The submitted request can be tracked from the Account Management tab. Gravity sends a confirmation email after the change has been completed.
Priority statement: complete this process through the authenticated Dashboard. Skip bank-change requests sent through an unsolicited email, caller or unofficial form.
How Long a Bank Change May Take
Gravity states that bank-change requests submitted before 2:00 p.m. Pacific Time aim to be completed the same day, but completion is not guaranteed. Requests submitted after that cutoff are processed the next business day.
The word “aim” matters.
A merchant should not close the old deposit account merely because a new request has been submitted. Wait for Gravity’s confirmation and verify where the next deposit is actually sent.
A practical transition check includes:
request submission date
selected effective date
Dashboard request status
confirmation email
next expected batch
bank account receiving the first post-change deposit
Keep the old account available until the change has been verified through actual funding, unless the merchant’s bank or legal situation makes that impossible.
Timing can vary with verification and account review.
Changing the Business Owner
Gravity does not publish business ownership changes as a routine Dashboard edit. Its official instructions tell merchants to contact their sales representative. Merchants who do not know their representative can call Gravity’s support number for help.
A business sale is not the same as editing a user name.
Ownership changes can affect authorization, deposit instructions, tax records, processing agreements and access to merchant funds. Treat the transition as an account-level process rather than handing the former owner’s Dashboard credentials to the buyer.
Do this first: contact Gravity before the ownership transfer is treated as complete for payment processing.
Skip shared credentials. Create or update authorized access through the process Gravity provides for the account.
The former owner, new owner and operational staff should also clarify who will handle open refunds, chargebacks and reconciliation for transactions processed before the transfer date.
Updating Dashboard Users and Locations
Gravity Dashboard supports separate user profiles. An authorized administrator can select USERS in the left navigation and use Add User to enter the employee’s email, first name, last name, account access and permissions.
Existing profiles can be edited through the three-dot menu beside the user name. Gravity says administrators can choose Edit User and can also initiate a password reset from that area.
Account access and permissions are separate.
For merchants with multiple accounts or locations, Account Access controls which locations the user can see. The Permissions Role controls what the user can do. Gravity specifically notes that statement access requires the Statement Viewer permission; Merchant Admin access alone does not automatically display statements.
This creates a concrete handoff problem during employee turnover. A replacement bookkeeper may log in successfully but see no statements because the profile was created with the wrong role.
Check location assignment first. Then check permissions.
Do not solve staff turnover by continuing to use a former employee’s account.
Verifying Deposits After an Account Change
Gravity recommends daily batch closures and daily reconciliation between the business’s point-of-sale or management system, Gravity Payments reports and online banking.
That recommendation becomes especially important after a deposit-bank update.
For each post-change batch, compare:

Do not compare only gross sales with one bank credit. A batch can include returns, review holds or other activity affecting the deposit.
Gravity says payment transaction system edits can pull unusual transactions into review. Funds can take 24 to 48 hours to be released after that review. Examples listed by Gravity include unusually large returns, returns to a different card and partial returns.
That review period can make a bank transition appear incomplete when one transaction or return is actually being held separately.
When a Deposit Difference Is Not a Bank-Change Failure
A lower or delayed deposit does not automatically mean Gravity sent funds to the wrong account.
Gravity advises merchants to review reports and receipts when reconciliation shows a discrepancy. It also notes that PTS edits may affect deposits and that account settings may need verification when the difference remains unexplained.
Work through this order:
- Confirm the bank-change request shows completed.
- Identify the affected batch.
- Compare the batch with Gravity transaction reporting.
- Review refunds and returns.
- Check for a transaction under review.
- Compare the resulting deposit with the correct bank account.
- Contact Gravity when the reports still do not reconcile.
Prioritize the batch date and net funding. Skip assumptions based only on the date the customer paid.
A transaction date, settlement date and bank-posting date may differ.
Dashboard Access During a Business Transition
Gravity Dashboard is the company’s centralized tool for payment activity, including recent transactions, batch history, sales performance and Virtual Terminal functions.
During an ownership or staffing transition, merchants should review who can access:
- transaction reports
- statements
- each business location
- Virtual Terminal tools
- payment links
- user administration
- Account Management
Not every person needs every permission.
A bookkeeper may need reports and statements. A cashier may need transaction access. An owner or authorized signer may need Account Management for bank changes.
Grant access according to job responsibility. Skip broad administrative roles when a narrower permission fits the task.
Gravity’s user instructions allow administrators to edit profiles, change account access and reset passwords. Use those controls promptly when an employee changes roles or leaves the business.
Preparing to Contact Gravity Payments
Gravity’s official support page lists 24/7 multilingual help in English, Spanish, Korean and Japanese. It also provides a support-ticket form and says online requests receive a reply within one business day; urgent issues should be handled by telephone.
Prepare:
- merchant ID
- business name
- current portal
- requested account change
- effective date
- affected location
- bank-change request status
- relevant batch date
- exact error wording
Gravity’s support form asks for the business name, MID when known, contact information, request subject and message.
Keep the request narrow. “Deposit-bank request shows completed, but the July 21 batch reached the former account” is more useful than “our banking is wrong.”
Use the official support route for account ownership and bank issues. Do not send private account credentials or payment information through unaffiliated login-help sites.
