Using Gravity Payments for Merchant Account Tasks

Gravity Payments is a payment-processing company serving businesses that accept customer payments. This independent guide is not affiliated with Gravity Payments and cannot view, verify or modify a merchant account.

Existing merchants should begin with the company’s Merchant Logins page. Gravity does not route every business through one universal account system; the appropriate portal can depend on the merchant ID and processing arrangement.

Which Gravity Payments Account Do You Need?

The main search difficulty is not finding a page labeled “login.” It is identifying the account system connected to the business.

Gravity’s Merchant Logins page currently provides direct access to Gravity Dashboard and separate routes for other merchant systems, including ChargeItPro tools. It also asks merchants to choose the selection matching their merchant ID before sending them to the appropriate login page.

That structure reflects a practical reality. Two businesses processing through Gravity Payments may use different reporting interfaces, even when both describe themselves as Gravity customers.

A merchant may need:

  • Gravity Dashboard for transactions, statements, batches and eligible Virtual Terminal functions
  • Access One for certain standalone or non-integrated processing accounts
  • ChargeItPro tools connected with an integrated payment setup
  • Gravity Portals for invoicing and customer-facing billing management
  • Dispute Manager for supported chargeback-management tasks

Do this first: use the official Merchant Logins page and match the account by merchant ID. Skip third-party login directories, especially those that combine unrelated products carrying the word “Gravity.”

Finding the Merchant ID

Gravity says a merchant ID, commonly called an MID, can be found in the installation email received by the business or in the upper-left corner of its merchant statement.

The MID matters because Gravity uses it to determine the appropriate merchant login route. It may also be needed for account-specific tools such as Dispute Manager enrollment. Gravity’s dispute documentation says the number can be found on a monthly statement or chargeback notification.

The merchant ID is not the same as a Dashboard email address. One identifies the processing account; the other identifies a person authorized to enter a particular interface.

That difference causes avoidable delays. A staff member may have a valid company email but no Dashboard profile, while another user may have Dashboard access but lack permissions for one location or function.

What Gravity Dashboard Shows

Gravity describes its Dashboard as a centralized tool for viewing and managing payment activity. It provides a snapshot of recent transactions, batch history and sales performance, and it can include a Virtual Terminal for payment processing.

The live Dashboard login page names several practical functions:

  • accepting payments
  • accessing monthly statements
  • reviewing transaction reporting
  • printing past receipts
  • filtering transaction history
  • viewing activity across locations

The layout is task-based. A merchant looking for a payment can open Transactions from the left navigation and use the search area above the transaction table. Gravity documents searches by business or customer name, approval code, amount and limited card-reference information.

Permissions can change what appears.

A user who can open Dashboard may still be unable to view statements, process transactions or administer other users. Treat a missing menu as an access question before treating it as a site failure.

How Batch Reporting Helps With Deposits

A batch groups transactions that have been prepared for processing and settlement. Gravity’s developer documentation says the Dashboard’s Batches section lists batches within a selected date range and can display transaction count, sales, returns, fees withheld, net amount and device ID.

That is useful when a bank deposit does not match the register’s gross sales.

The gross sales number is only one part of the reconciliation. Returns may reduce the total. Fees may be withheld. Transactions from the end of one business day may appear in another batch, depending on closing and settlement timing. Multi-location or multi-device activity can also make a simple comparison misleading.

Start with the batch report, not the bank balance alone.

Open the relevant batch and compare its sales, returns and net amount with the corresponding funding entry. Then check the monthly processing statement for adjustments or account charges that are not obvious from the point-of-sale total.

One screen rarely tells the full story. The Dashboard’s batch detail exists precisely because a top-line sales figure is not always the amount ultimately deposited.

Accessing Processing Statements

Gravity’s Merchant Logins page identifies monthly statements as one of the main Gravity Dashboard functions.

Inside Dashboard, statement access depends on the merchant account and user permissions. Gravity publishes a dedicated statement-access guide and directs merchants who need further assistance to its technical support team.

Statements deserve priority when reviewing:

  • processing fees
  • monthly account charges
  • transaction totals
  • refunds and adjustments
  • funding differences
  • the merchant’s actual pricing arrangement

Public pricing pages cannot replace the account statement. A merchant agreement may reflect equipment, integration, transaction environment and other terms specific to that business.

When a statement option is missing, ask an authorized account administrator to check the user’s role. Repeatedly resetting the password will not add a permission that was never assigned.

Resetting a Gravity Dashboard Password

The official Gravity Dashboard login screen includes a Reset password link below the login prompt.

Gravity’s current developer instructions describe this process:

  1. Open the Gravity Dashboard login page.
  2. Select Reset password.
  3. Enter the email address associated with the Dashboard user.
  4. Select Send Email.
  5. Follow the temporary-password and reset instructions sent by the system.

Use this route only for Gravity Dashboard. A merchant assigned to Access One, ChargeItPro or another platform may have a different recovery process.

Do not keep testing variations when the reset message does not arrive. Confirm that the address belongs to an existing Dashboard user, check ordinary mail filtering, then use official support for account-level assistance.

Using the Virtual Terminal

Gravity’s Virtual Terminal is accessed from the Virtual Terminal option in the Dashboard’s left control panel when the feature is enabled for the merchant. The company lists four transaction categories there: Sale, Authorization, Capture or Force, and Void or Refund.

A Virtual Terminal is meant for authorized browser-based payment entry rather than ordinary transaction reporting. Its appearance in general Gravity documentation does not mean every Dashboard account automatically includes it.

Void and refund tasks have a defined path. Gravity instructs users to open Virtual Terminal, choose the appropriate location for multi-location access, select the Void/Refund tab and locate the desired transaction before choosing Void.

Timing matters. A void generally concerns a transaction that has not completed settlement, while a refund concerns a completed payment. The available action is determined by the transaction’s state and the merchant configuration.

Find the original payment first. Skip entering a second transaction merely to cancel out the amount.

Payment Links and Customer Billing Portals

Gravity Dashboard supports payment-link creation for eligible accounts. The documented workflow includes selecting Payment Links, choosing Create Link, then creating either a single-use or multi-use link. For a single-use link, the form asks for a customer name, amount, payment description and the number of days the link should remain active.

Gravity Portals serves a broader customer-billing purpose. Gravity describes Portals as an online billing-management platform through which business owners can issue invoices and collect customer payments.

These tools overlap in outcome but not necessarily in workflow:

Feature availability varies by account and integration. Verify the merchant’s enabled products before writing customer instructions around a screen that may not exist in that setup.

Access One and Older Account Routes

Not every Gravity merchant uses the newer Dashboard.

Gravity says Access One is available for merchants whose MID starts with “4” or “5” and is intended for standalone or non-integrated payment processing. Through Access One, those merchants can review batch history, chargeback information and monthly statements.

This is a specific source of wrong-login problems. A merchant may spend time attempting to reset a Gravity Dashboard password even though the account belongs in Access One.

Check the MID first. Skip account recovery until the correct platform has been identified.

ChargeItPro is another name merchants may encounter. Gravity announced in 2023 that Gravity and ChargeItPro had become one organization, while the Merchant Logins page continues to provide distinct ChargeItPro login routes.

When to Contact Gravity Payments Support

Gravity’s official support page currently states that multilingual support is available 24 hours a day in English, Spanish, Korean and Japanese. It also provides the company’s support library and direct contact route.

Contact support when:

  • the MID does not match an obvious portal
  • the authorized account email has changed
  • the merchant cannot identify the account owner
  • statement access is missing after permissions were checked
  • batches and deposits remain unreconciled
  • a terminal or integration reports an account-level error
  • the merchant account appears inactive

Gravity’s emergepay documentation lists error 00007 for a deactivated merchant and error 00008 for failure to retrieve the current batch, which can be associated with an inactive account or batches being out of sync. Both conditions require more than an ordinary browser refresh.

Record the exact error code and affected function before contacting support. That is more useful than reporting only that “Gravity is not working.”
