Gravity Payments provides payment-processing tools for businesses, including merchant reporting, online payment functions and card-present or card-not-present solutions. This independent guide is not affiliated with Gravity Payments and cannot access merchant records.

Merchants trying to sign in should use the official Merchant Logins page first. Gravity lists several account systems, so a login page that works for one business may be wrong for another.

What Is Gravity Payments Used For?

Gravity Payments is a U.S. merchant-services provider. Its products help businesses accept customer payments, review transaction activity and connect payment processing with supported terminals, websites or business software.

This is primarily a business service.

A customer may encounter the Gravity name while paying an invoice or buying from a merchant, but that does not usually mean the customer has a personal Gravity Payments account. The business accepting the payment is generally the party with the merchant relationship.

Existing merchants may use Gravity Dashboard, a legacy gateway, a gift-card server or another system listed on the company’s account page. The correct route depends on the processing setup.

Start With the Merchant Logins Page

Gravity’s Merchant Logins page is the safest entry point because it separates the company’s different account tools. The page directs merchants to systems used for monthly statements, batch reports, Virtual Terminal activity and other processing functions.

Do this first: identify the portal associated with the merchant account. Skip random search results that merely contain “Gravity login.”

A merchant ID can help. Gravity says the merchant ID, also called an MID, appears in the installation email or in the upper-left corner of the merchant statement.

That detail prevents a common mistake. Employees sometimes try to recover a Gravity Dashboard account when their business actually uses a different listed processing portal.

The MID identifies the merchant account. The email entered on a login screen identifies an individual user. They are related, but they are not interchangeable.

What You Can Do in Gravity Dashboard

Gravity Dashboard is the company’s centralized tool for reviewing and managing payment activity. Gravity says the Dashboard provides recent transaction information, batch history, sales-performance data and a Virtual Terminal for supported accounts.

The live Dashboard page lists several available functions:

  • accept payments
  • access monthly statements
  • review live transaction reporting
  • print earlier receipts
  • filter transaction history
  • see transactions across business locations

Not every employee will see every function. Gravity’s current user-settings documentation separates ordinary user roles from specific permissions, including Statement Viewer and Virtual Terminal Admin.

For example, Statement Viewer requires an eligible Merchant Admin or Merchant User role. Virtual Terminal Admin also requires one of those roles and only applies when the Virtual Terminal has been enabled for the merchant account.

This matters more than browser choice.

When one user can open statements but another cannot, check account permissions before clearing cookies, changing devices or repeatedly resetting the password.

How to Find Gravity Payments Statements

Gravity says merchants receive an automated email each month when their processing statements are ready. The documented Dashboard route begins by selecting Statements in the left-side panel.

Statements can help a merchant investigate processing costs, funding totals and account adjustments. They usually provide more useful context than the abbreviated description shown beside a bank-account debit or deposit.

Start with the correct month.

Then compare the statement against:

  • the business’s transaction records
  • Dashboard batch reports
  • refunds and returns
  • fees withheld
  • deposits reaching the bank account

A statement date may not match the date that funds appear in the bank. Gravity’s own explanation of card-processing statements notes that batch-submission dates and bank funding dates can differ because of cutoff restrictions.

A one-day difference is not automatically an error. The relevant timing varies by processing arrangement, submission time and financial institution.

Why a Deposit May Not Match Daily Sales

Daily sales, batch totals and bank deposits describe different stages of payment processing.

A sales report can show gross transactions recorded by the business. A batch report groups submitted transactions. The bank deposit reflects the amount funded after the applicable processing activity has been accounted for.

Gravity’s Dashboard batch reporting includes:

  • transaction count
  • sales
  • returns
  • fees withheld
  • net amount
  • device ID

Those fields provide a better reconciliation trail than comparing one gross sales figure with one bank deposit.

Suppose a business records sales late in the evening. Some transactions may enter a batch associated with another processing date. A return can lower the net amount. Fees may also be withheld, depending on the account arrangement shown in the batch and statement records.

Check the batch first, skip assumptions.

Gravity also explains that the amount funded by batch is tied to when the batch was closed, while the statement’s submission date may differ from the date funds appear in the merchant’s account.

When the figures remain unexplained, note the batch number, date and net amount before contacting support.

Using the Gravity Virtual Terminal

A virtual terminal is a web-based interface for card-not-present transactions. Gravity describes virtual terminals as hosted online tools that can be used from devices such as computers, smartphones or tablets without requiring a physical card reader for the transaction entry.

Within Gravity Dashboard, supported users access the tool by selecting Virtual Terminal from the left control panel. Gravity lists four transaction types there:

  • Sale
  • Authorization
  • Capture or Force
  • Void or Refund

The tool may not appear for every account. It must be enabled for the merchant, and the signed-in user needs the relevant permission.

A missing Virtual Terminal menu therefore has at least two possible causes: the product is not enabled, or the user lacks access.

For voids, Gravity’s published instructions say to open Virtual Terminal, choose the correct location when multiple locations are available, select the Void/Refund tab and find the desired transaction.

Prioritize the original transaction. Do not create a second charge merely to offset a payment that should be voided or refunded through the proper transaction record.

Creating Gravity Payment Links

Gravity Dashboard can provide payment-link tools for eligible merchant accounts. The company’s tutorial directs users to Payment Links in the left navigation, followed by the Create Link button. Users can then choose a single-use or multi-use link.

A payment link can be useful when the customer is not physically present. It provides a hosted route through which the customer can complete the requested payment.

Gravity Portals is a different product. Gravity describes it as a customizable customer payment and presentment portal with self-service capabilities and business-specific workflows.

The difference is practical:

Businesses should verify which tools are included in their processing setup before publishing instructions for customers.

Gravity Payments Login Not Working

Begin with the exact portal.

The official Gravity Dashboard login page contains fields for an email and password, plus a Reset password option. It also states that users can access statements and transaction reporting after signing in.

When access fails:

  1. Return to the official Merchant Logins page.
  2. Confirm that the account belongs in Gravity Dashboard.
  3. Check whether the email belongs to an active Dashboard user.
  4. Use the displayed password-reset route.
  5. Ask an authorized administrator to review permissions.
  6. Contact official support when the account route remains unclear.

Do not repeatedly submit guesses. Account recovery becomes harder when the underlying problem is the wrong portal, an inactive user or an account-level restriction rather than a forgotten password.

Before contacting technical support, record the error code and verify that the internet connection and payment equipment have power. Gravity’s support preparation page specifically asks merchants to have the MID and applicable error codes available.

Gravity’s page also mentions administrative credentials that may be needed during device troubleshooting. Those should only be used directly by the authorized merchant or approved technician, never sent through an unverified message or public form.

Pricing and Processing Costs

Gravity’s pricing page describes adaptable and integrated solutions rather than presenting one confirmed universal cost for every merchant. It also states that Gravity helps merchants address PCI compliance requirements.

PCI DSS, maintained by the PCI Security Standards Council, establishes security requirements for environments that store, process or transmit payment-card information. A processor may provide tools and guidance, but the merchant’s responsibilities vary according to equipment, software and payment methods.

The most reliable account-specific cost sources are:

  • the merchant agreement
  • current processing statements
  • equipment or software terms
  • written pricing provided for that business

Do not rely on an old review to determine the current cost of a particular account. Reviews can describe another business’s terms, transaction mix or contract period.

The statement should win.

When to Contact Gravity Payments Support

Gravity’s support page currently advertises 24-hour assistance in English, Spanish, Korean and Japanese. It publishes a support telephone number and links to the company’s support library.

Support is appropriate when:

  • the merchant cannot identify the correct portal
  • the MID is not recognized
  • the Statements menu is missing after permissions are checked
  • a deposit cannot be reconciled with its batch
  • the Virtual Terminal is expected but unavailable
  • account ownership or authorized-user information changed
  • a terminal or integration reports an error code

Give support a narrow problem statement. “Batch 4821 shows one net amount, but the corresponding bank deposit differs” is more actionable than “my money is missing.”

Keep the batch date and statement month nearby.
