Gravity Payments provides card-processing and merchant-account tools for businesses. Existing merchants can use its account systems to review transactions, retrieve statements, reconcile batches and manage certain account details. This independent guide is not affiliated with Gravity Payments.
Start at the official Merchant Logins page. Gravity uses more than one account platform, and its website directs merchants to choose a route based on their merchant ID rather than assume that every account belongs in Gravity Dashboard.
Which Gravity Payments Login Should You Use?
Gravity Dashboard is the primary account tool highlighted on the company’s Merchant Logins page. Gravity says it provides access to monthly statements, batch reports and a Virtual Terminal. The same page also lists separate ChargeItPro options and a selector for merchants who need to identify the correct system from their merchant ID.
That creates the first decision:
- Use Gravity Dashboard when the account was set up for that platform.
- Use the merchant-ID selector when the proper portal is uncertain.
- Use a listed ChargeItPro route only when the business’s processing setup calls for it.
- Contact Gravity support when account records and available login choices do not agree.
Do this before attempting password recovery. Skip search results that lead directly to an unfamiliar login screen without first confirming which Gravity product the business actually uses.
The live Dashboard page uses an email and password login and provides a Reset password option. It also advertises access to monthly statements, transaction reports, prior receipts, filters and activity across locations.
What Is Available in Gravity Dashboard?
Gravity describes Dashboard as a centralized tool for viewing and managing payment activity. Its overview includes recent transactions, batch history, sales performance and Virtual Terminal access.
In practice, merchants commonly enter Dashboard for one of four jobs:
- Find a transaction or receipt.
- Compare a batch with a bank deposit.
- Retrieve a processing statement.
- Process an eligible card-not-present action.
The screens shown to a particular user may depend on account configuration and assigned access. Gravity’s user documentation identifies a Users tab and an Add User control, and it tells multi-location administrators to filter by account when adding or locating users.
That is a useful support clue. When two employees sign into the same merchant organization but see different locations or tools, the discrepancy may come from user assignments rather than a Dashboard outage.
Check access first. Reinstalling the browser should come later.
Changing a Deposit Bank Account
Gravity publishes a self-service process for initiating a deposit-bank change inside Dashboard. The instructions begin with Account Management in the left navigation and state that only owners and authorized signers can complete the process.
This restriction matters. A bookkeeper, office manager or ordinary Dashboard user may be able to review transactions yet remain unable to submit a banking change.
The practical path is:
- Enter the correct Gravity Dashboard account.
- Open Account Management from the left navigation.
- Locate the bank-account change workflow.
- Follow the account verification process shown by Gravity.
- Use official support when the authorized ownership information is outdated.
Do not treat a missing bank-change option as proof that the feature is broken. Confirm that the signed-in person is recorded as an owner or authorized signer first.
A change involving business ownership is a different task from replacing a deposit account. Gravity’s Account Management library separates general account-information updates from procedures for changing the owner associated with a merchant account.
How Batch Reports Explain Deposits
Gravity Dashboard’s Batches section lists batches processed within a selected date range. Gravity says the report can show transaction count, sales, returns, fees withheld, net amount and device ID. Selecting a batch number opens more detailed data.
That makes the batch report the best starting point for a deposit discrepancy.
A register may show gross sales. The bank receives a funded amount. Between those two records, the batch can contain returns, withheld fees and a net figure that better explains the deposit.
Use this comparison order:

A bank deposit may not equal the day’s gross sales, and a difference is not automatically evidence of missing money. Processing cutoffs, returns and account terms can affect the comparison.
The statement matters too. Gravity’s statement guide says processing statements are available through Dashboard and directs merchants to its support team when further help is required.
Voiding or Refunding a Payment
Gravity Dashboard’s Virtual Terminal supports Sale, Authorization, Capture or Force, and Void or Refund transaction types. The tool is opened through Virtual Terminal in the left control panel.
A void and a refund are not the same action.
Gravity’s current tutorial instructs merchants to open Virtual Terminal, choose the correct location for a multi-location account, select the Void/Refund tab and locate the transaction. The Void button is unavailable after the transaction has batched; once batching occurs, the merchant must use a refund instead.
That is the timing friction many generic guides omit.
Prioritize finding the original transaction. Skip entering a new negative or offsetting sale unless an approved account procedure explicitly requires it.
Gravity’s void lookup can use the transaction’s authorization ID or limited card-reference information displayed within the authorized merchant workflow. Account users should perform the search directly inside Dashboard rather than sending payment details through email or an unofficial support page.
Creating a Customer Payment Link
Eligible Dashboard accounts may include Payment Links in the left-hand navigation. Gravity’s documented workflow instructs the merchant to select that screen, click Create Link, and choose between a single-use and multi-use link.
A single-use link fits a specific payment request. A multi-use link can support repeated payments under the merchant’s configured workflow.
Payment Links should not be confused with Gravity Portals. Gravity describes Portals as its online billing-management platform for issuing invoices and collecting payments from customers.
The difference is functional:
- Payment Link: A hosted route created for payment collection.
- Gravity Portals: A broader customer-facing billing and invoice environment.
- Virtual Terminal: A merchant-operated interface for entering eligible remote transactions.
- Dashboard: The merchant’s reporting and account-management center.
Availability varies by merchant setup. Do not promise customers that a particular payment screen exists until the business confirms which Gravity products have been enabled.
What Gravity Payments Pricing Shows
Gravity’s public pricing page currently advertises flat-rate pricing of 2.5% plus $0.10 per transaction for qualified in-person payments. It notes that software-integrated payments and transactions where the customer is not physically present may not qualify for that flat rate.
The same page includes an effective-rate calculator based on monthly card sales and monthly processing fees. Gravity defines the effective rate as the average percentage of fees associated with transactions.
The calculation is:
Monthly processing fees ÷ monthly card sales × 100
Gravity’s separate effective-rate explanation uses the same approach and says the necessary figures can be found on a monthly processing statement.
The public flat rate is not a complete quote for every merchant. Transaction environment, integration and account terms can change qualification and cost.
Review the current statement first. Skip fee figures copied from old reviews or another merchant’s contract.
Gravity Payments Login Problems
Use the official Dashboard reset route when the business is certain that Gravity Dashboard is the correct platform. The login screen includes Reset password beneath the sign-in form.
When login still fails, check these causes in order:
- Wrong Gravity merchant portal.
- Email not attached to an active Dashboard user.
- Access limited to another business location.
- Missing account permission.
- Browser or network problem.
- Merchant-account restriction requiring support.
A successful login does not prove that all access is correct. The user can enter Dashboard yet remain unable to see a required account, location or management screen.
The most useful support description names the exact friction: “Account Management is missing,” “Statements does not appear,” or “The Void button is unavailable after batching.” Avoid reporting only that the login “doesn’t work.”
Gravity Payments Security and PCI Responsibilities
Gravity markets payment tools for in-person, remote and integrated processing and says it helps merchants become PCI compliant.
PCI DSS is the payment-card security standard relevant to organizations that store, process or transmit card information. A processor can provide technology and guidance, but the merchant’s responsibilities depend on its specific payment environment.
Remote-payment tools require particular care because they handle card-not-present transactions. Gravity defines virtual terminals as hosted web interfaces used to process those payments through devices such as computers, smartphones or tablets.
Use approved merchant tools directly. Do not collect account credentials or payment details through ordinary messages, shared documents or unofficial forms.
Contacting Gravity Payments Support
Gravity’s support page currently lists multilingual support available 24 hours a day. It identifies English, Spanish, Korean and Japanese as supported languages and provides access to the company’s support library.
Contact support for:
- an unidentified merchant login route
- an ownership or authorized-signer issue
- a missing bank-account management option
- unexplained batch or deposit differences
- inaccessible monthly statements
- terminal or integration problems
- account tools that remain missing after permissions are checked
Have the merchant ID, affected date, batch number and exact screen name available. Those details let support narrow the issue without relying on a vague description.
