Gravity Payments provides payment-processing and reporting tools for businesses accepting customer payments. This independent guide is not affiliated with Gravity Payments and cannot inspect or change a merchant account.
Merchants researching a charge or deposit should start with three records: the individual transaction, its batch report and the corresponding monthly statement. Gravity recommends daily batch closures and daily reconciliation between the business system, Gravity Payments reports and online banking records.
What Gravity Payments Statements Show
A merchant processing statement is the monthly account record used to understand sales activity, processing fees and other account entries. Gravity says most merchants receive statements by email near the beginning of each month. Fees for the previous month are generally debited within the first few days of the new month.
That timing can create a wrong-charge moment. A debit appearing in early July may relate to June processing rather than July sales.
Check the statement period first.
Gravity also provides current and historical statements through Gravity Dashboard. Its documentation says merchants receive an automated email when a statement is ready, then select Statements from the Dashboard’s left-side panel to view it.
A statement should be used when the merchant needs to review:
- total monthly processing volume
- account fees
- the effective processing rate
- adjustments spanning several batches
- the merchant ID connected to the account
- activity that cannot be explained by one receipt
The layout may vary according to the account or processing arrangement. Gravity’s statement-reading guide acknowledges that individual statements can look somewhat different while containing broadly similar information.
Where Is the Gravity Payments Login?
Existing merchants should begin on Gravity Payments’ official Merchant Logins page. It links to Gravity Dashboard and other account systems used for statements, batches, Virtual Terminal activity, gift-card reporting and legacy integrations.
Do not assume that every Gravity Payments merchant uses Dashboard.
Gravity’s account page separates several login routes because the correct portal can depend on the merchant’s processing setup. A saved link from a former employee or an unrelated search result may lead to a valid Gravity product that does not serve the current account.
Use this path:
- Open the official Merchant Logins page.
- Identify the portal associated with the business.
- Enter Gravity Dashboard only when it is the assigned system.
- Retrieve the statement or batch report needed for the question.
- Contact Gravity support when the account route remains unclear.
Do this before resetting a password. Skip repeated login attempts when the business has not yet confirmed its platform.
Why Daily Reconciliation Matters
Gravity recommends closing batches daily and reconciling activity each day across the point-of-sale or business-management system, Gravity Payments and online banking. When a discrepancy appears, the company advises reviewing Gravity reports or transaction receipts.
Daily review narrows the search.
A merchant that waits until month-end may need to compare hundreds or thousands of transactions. A daily process limits the problem to a smaller date range, terminal and batch.
A useful reconciliation sequence is:

These figures will not always match line for line. They represent different stages of the payment process.
A receipt confirms one payment. A batch can include many sales and returns. A monthly statement covers a broader period. The bank record shows the resulting funding or account debit.
Start narrow, then expand.
How Gravity Batch Reports Work
Gravity Dashboard includes a Batches section that lists batches processed within a chosen date range. The report can show transaction count, sales, returns, fees withheld, net amount and device ID. Selecting an individual batch number opens more detailed batch data.
Those fields are particularly useful when the bank deposit is lower than gross sales.
For example, gross sales can be reduced by returns. Fees may be withheld under the account arrangement. Transactions entered after a business cutoff may fall into another batch. Activity from several devices can also complicate a simple daily comparison.
Do this first: compare the batch’s Net Amount with the relevant bank entry. Skip a direct comparison between gross register sales and the deposit until the batch detail has been reviewed.
The Device ID can help multi-terminal businesses isolate where activity originated. The transaction count can reveal whether a payment was omitted from the batch or whether the discrepancy comes from a return or adjustment instead.
One number rarely explains everything.
Finding a Transaction Inside Dashboard
Gravity Dashboard is a centralized tool for recent transactions, batch history and sales-performance data. It also includes a Virtual Terminal for supported merchant accounts.
Gravity’s transaction-search instructions begin by selecting Transactions from the Dashboard’s left navigation. The company also offers saved filtered reports using parameters such as amount, card type, source and cashier. Each selected filter is applied through the control displayed in the dropdown.
Useful starting filters include:
- date range
- amount
- payment source
- cashier
- card type
- merchant location
Priority statement: select the correct date and location first, then add more filters. Skip an overly broad search when a specific business day is already known.
A missing transaction may belong to a different batch, source or cashier. It may also have been processed through another merchant location that the current user cannot see.
Once the payment is found, identify its status before considering a void, refund or dispute response.
Calculating the Effective Processing Rate
Gravity defines a merchant’s effective rate as total monthly processing fees divided by total monthly sales volume. The result is expressed as a percentage and can be calculated from figures appearing on the monthly processing statement.
The formula is:
Monthly processing fees ÷ monthly card sales × 100
Suppose the statement shows $1,020 in processing fees and $34,000 in card sales. The effective rate is 3%.
That calculation is useful for comparing months or processing offers, but it does not explain the cause of every charge. A higher rate can reflect changes in transaction type, card mix, returns, account fees or processing configuration.
Gravity currently advertises flat-rate pricing of 2.5% plus $0.10 for qualifying in-person transactions. The company states that payments integrated into software or accepted when the customer is not physically present may not qualify for that public offer.
The public price and the merchant’s effective rate answer different questions.
The advertised rate describes an available offer. The effective rate measures what the business paid during a particular statement period.
Review both, but let the signed agreement and current statement control account-specific conclusions.
Card-Brand and Account Fees
A processing statement can include more than the processor’s own markup. Gravity publishes separate guidance on card-brand assessments and related charges, including percentage-based and per-transaction fees that can vary by network and transaction circumstance.
Do not group every line under “Gravity fee” without checking its description.
Some charges can be connected to:
- card-brand assessments
- international card activity
- account services
- transaction processing
- PCI-related requirements
- the merchant’s pricing arrangement
Gravity’s PCI-DSS support page currently lists an annual PCI compliance fee, an additional-location fee and a monthly non-compliance fee. It also says merchants must complete a Self-Assessment Questionnaire at least annually.
Those published figures should be checked against the merchant’s current statement and agreement because account terms can change. A public support page does not replace account-specific documentation.
Prioritize the exact fee label and statement period. Skip assumptions based only on the amount withdrawn from the bank.
Updating the Deposit Bank Account
Gravity provides a self-service bank-account change process inside Gravity Dashboard. The workflow starts by selecting Account Management from the left navigation. Gravity states that only owners and authorized signers can complete the displayed steps.
This restriction explains why an ordinary employee may see transactions and statements but no bank-change option.
A missing control does not automatically indicate a technical failure. The signed-in user may lack the required ownership or signer status.
Use this order:
- Confirm that Gravity Dashboard is the correct portal.
- Check whether the user is recorded as an owner or authorized signer.
- Open Account Management.
- Follow the authenticated bank-change workflow.
- Contact official support when ownership records are outdated.
Do not ask an unauthorized employee to work around the restriction. Account changes should remain inside authenticated Gravity channels.
Statements, Deposits and Monthly Timing
Gravity says most statements are emailed at the beginning of each month and that fees reflecting the previous month’s processing are generally debited within the first few days.
That creates several dates to distinguish:
- transaction date
- batch closure date
- deposit date
- statement month
- fee-debit date
A merchant may mistakenly compare a July fee debit with July’s first few sales, even though the charge reflects June activity. Another merchant may compare a late-night transaction with the wrong bank deposit because the payment entered a later batch.
Write the dates down.
Then match the questioned entry to its statement period and batch. That simple timeline often resolves the issue without changing the account or disputing a legitimate debit.
When to Contact Gravity Payments Support
Gravity’s support page lists assistance at (866) 701-4700 and states that multilingual help is available 24 hours a day in English, Spanish, Korean and Japanese.
Contact support when:
- the business cannot identify its login portal
- a statement is unavailable
- the bank debit cannot be matched to a statement period
- the batch net amount does not match the expected funding
- a merchant location or device is missing
- an owner cannot access Account Management
- an unfamiliar fee remains unexplained after statement review
Prepare the portal name, merchant ID, statement month, batch number, device ID and exact fee description. “The June statement shows a charge I do not recognize” is better than “Gravity took money.”
Keep the question precise. It shortens the handoff.
